We are seeking a highly organized and proactive Personal Admin to assist with finance operations and provide support to the CEO. This role combines administrative tasks with finance and procurement support, requiring strong multitasking skills and attention to detail.
What Youll Be Doing:
Finance Operations & Procurement Support:
Keep financial documents up-to-date and ensure they are ready for audits or internal use.
Assist the Finance team with completing financial questionnaires and requests from customers and partners.
Coordinate banking forms and annual tax residency certificate requests.
Support procurement processes, track purchase orders (POs), and assist in budget forecasting.
Organize and maintain shared drives, ensuring proper structure and easy access across the company.
Help manage office rent, utilities, parking agreements, and IT equipment inventory.
Support Board of Directors meetings and manage municipal documentation (e.g., property tax).
Personal Assistance to the CEO:
Handle financial forms, regular payments, and assist in the preparation of personal and business reports.
Requirements: Excellent English proficiency
Highly organized and detail-oriented.
Discreet and able to handle sensitive information.
Strong multitasker with the ability to adapt to shifting priorities.
Proficient in tools like NetSuite, Excel, GSuite, DocuSign, Slack, and AI.
Proactive with a get-it-done attitude.
